Running a shop that is only a WhatsApp number

A shop that is only a WhatsApp number works, and it fails in a predictable place: orders live in conversations, and conversations scroll. Everything below is about that one problem.

What you need instead of a website

What replaces a shop
A website gives youWithout one, use
A catalogueThe WhatsApp catalogue, kept small
An order recordA list outside the conversation - anything
PaymentA payment link or mobile money, with the reference recorded
Delivery detailsA confirmation message that reads the address back
A receiptA confirmation message with an order number in it

The order number is the whole trick

Give every order a number and put it in the confirmation message. It costs nothing, it makes every subsequent conversation searchable, and it is the single change that turns a WhatsApp shop from unmanageable into manageable. Without it, "where is my order" is answered by scrolling.

Get orders out of the conversation

Somewhere - a spreadsheet, a notebook, anything - that lists what is owed to whom and what stage it is at. The conversation is the correspondence, not the record. Businesses that skip this stage cope until roughly the day they have ten open orders, and then they lose one.

The concurrency ceiling

One person can hold four to six live conversations. A WhatsApp-only shop hits that ceiling at a lower order volume than a website would, because every order is a conversation rather than a form. At that point you need a second person answering the same number, which is the whole argument for a shared inbox.

What to add first, when you add anything

  1. Order numbers. Free, immediate.
  2. A list of open orders. Anywhere.
  3. A second person on the number. Before you need them.
  4. A confirmation message with the address read back. Removes most failed deliveries.
  5. Only then, a website. And it may never be necessary.

Questions people actually ask

Can a business run entirely on WhatsApp?

Many do. The constraints are record-keeping and concurrency: orders live in a conversation, and one person can only hold so many conversations at once.

What breaks first for a WhatsApp-only shop?

Order tracking. When the only record of what somebody ordered is a message thread, the tenth order of the day is the one that gets missed.
