WhatsApp Business, the app and the API: which one you need

WhatsApp Business is a free app for a phone. The WhatsApp Business Platform is an API with no interface at all, billed per conversation. Most businesses need the app for far longer than vendors suggest, and the honest trigger to move is not size - it is more than one person needing to answer at once.

What the free app already does

More than people expect, and it is worth knowing before paying for anything: a business profile with hours and address, a catalogue, labels for organising chats, quick replies, a greeting message, an away message, and basic statistics. For a business with one person answering, that covers most of what a paid platform would sell you.

Where the app stops

  • Several people answering at once. This is the real ceiling. Linked devices let a few screens see the same account, but there is no assignment, no internal note, and no record of who said what.
  • Anything automated beyond a greeting. No order updates from your shop, no notifications from your own systems.
  • Reporting. How many conversations are unanswered right now is not a question the app answers.
  • Continuity. The account lives on a phone. See why that is a problem.

What the API is, and is not

The Business Platform has no inbox, no app and no interface. It is an HTTP endpoint. Everything a person would use - a place to read messages, reply, assign, search - is software somebody else builds on top. That is why the pricing conversation always has two parts: what Meta charges per conversation, and what the platform around it costs.

The API also cannot use a number that is signed in to the WhatsApp app. If the number on your shopfront is the one your staff answer on, moving it to the API means it stops working as a normal WhatsApp number. This surprises people at the worst possible moment.

The third option people miss

There is a middle route: a shared inbox built on the WhatsApp Web protocol, using the number you already have. It gives you the multi-person answering and the automation without verification, a new number, or a per conversation fee - and it costs you Meta's official support and certification. The comparison in full.

A decision rule

  1. One person answering, low volume: the free app. Do not let anybody sell you more.
  2. Several people, your own number, no appetite for Meta's verification: a shared inbox on the Web protocol.
  3. High volume, regulated, or you need the official platform and the badge: the API, and budget for verification taking weeks.

Questions people actually ask

Is WhatsApp Business free?

The app is free. The Business Platform - the API - is not: Meta charges per conversation, and you normally pay a provider on top for the software around it.

Can two people use the same WhatsApp Business account?

The app supports a small number of linked devices on one account, which is not the same as a shared inbox: everyone sees everything, nobody is assigned anything, and there is no record of who replied.

Do I lose my chat history moving to the API?

Yes, in practice. The API is a different number and a different system; there is no supported migration of conversations from the app into it.
